From dental professionals (temps)

  • Full legal name, preferred name
  • Email address and mobile phone number
  • City and general location within the Lower Mainland
  • Professional role (Dental Hygienist, CDA, Receptionist, Chairside)
  • Years of experience and software proficiency
  • Availability and shift preferences
  • Professional registration numbers and certifications (where applicable)
  • Emergency contact information
  • Any information you voluntarily share when communicating with us

From dental offices

  • Office or clinic name, address, and contact details
  • Billing information (name, address for invoice delivery)
  • Shift requirements and scheduling preferences

Automatically collected

  • Device and browser type when accessing our web forms
  • Timestamp and page-interaction data for security and debugging purposes

2. How We Use Your Information

We use personal information to:

  • Match available temps with open shifts at dental offices
  • Contact you via SMS and email about shift opportunities, confirmations, and updates
  • Maintain scheduling records and track shift history
  • Generate and deliver invoices to dental offices
  • Verify professional credentials and eligibility to work
  • Comply with applicable legal and regulatory requirements
  • Improve the quality and reliability of our staffing services

We do not use your information for automated decision-making that produces legal or similarly significant effects without human review.


3. Disclosure of Your Information

We share personal information only as necessary to provide our services:

  • Dental offices: We share your first name, role, and general availability with offices when arranging or confirming a shift. Offices do not receive your full contact details unless operationally required.
  • Service providers: We use trusted third-party services (including cloud hosting, SMS delivery, and email providers) that process personal information on our behalf under confidentiality obligations.
  • Legal requirements: We may disclose information if required by law, regulation, court order, or to protect our legal rights.

We do not sell personal information to any third party.


4. SMS and Email Communications

By registering with ASAP Dental Temps, you consent to receive SMS text messages and emails related to shift opportunities, confirmations, and service updates. Message frequency varies based on available shifts and your activity level.

Standard carrier message and data rates may apply for SMS messages. You may opt out at any time by replying STOP to any SMS or by contacting us directly. Opting out of communications may limit our ability to place you on shifts.


5. Data Retention

We retain personal information for as long as necessary to fulfil the purposes described in this policy, comply with legal obligations, and resolve disputes. In practice:

  • Active temp profiles are retained for the duration of your registration with us
  • Shift and billing records are retained for a minimum of seven (7) years to meet Canadian accounting and tax requirements
  • Inactive profiles may be archived or deleted after two (2) years of no shift activity

You may request deletion of your profile at any time (see Section 7). Note that some records may be retained to satisfy legal obligations even after a deletion request.


6. Data Security

We implement industry-standard technical and organisational safeguards to protect personal information against unauthorised access, disclosure, alteration, or destruction. These measures include encrypted data storage, access controls, and secure communication protocols.

No method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.


7. Your Rights

Under PIPEDA and PIPA, you have the right to:

  • Request access to the personal information we hold about you
  • Request correction of inaccurate or incomplete information
  • Withdraw consent to the collection or use of your information (subject to legal constraints)
  • Request deletion of your profile and associated personal information
  • File a complaint with the Office of the Privacy Commissioner of Canada
